Ethos + Co | Community Room Request & Agreement

Ethos + Co. is honored in your interest in reserving our Community Room. The mission of this space is to foster relationships, do good, and facilitate healthy conversations about life. Ethos cannot guarantee the reservation of the Community Room. By providing more information about your event or meeting, we will be able to determine if and how we can best accommodate your request. At this time, we do not book the Community Room more than 4 months out. Please be sure to submit your request as early as possible and give our team up to 7-10 business days to get back to you.

The Community Room is only available for reservation during business hours, Monday - Friday between 7A - 4P and Saturdays between 8A - 12P. If you would like to rent the space outside of business hours, please instead submit a request via our Facility Request & Agreement form.
Date

We have a two hour minimum for Community Room reservation. Your timeframe should include any time that you need for set-up and tear-down, depending on your needs for the space.

Please note that we do not recommend groups greater than 20 in the room. We have seating for 12 at the tables and additional fold-up chairs available as needed.

COMMUNITY ROOM POLICY & AGREEMENT

Once the "Community Room Request and Agreement" form is completed, a team member will be in contact with you regarding the availability to host your event or meeting at the facility and a contract with reservation rates. Please review Ethos + Co.'s policies and agreements for use of the space within our facility. If the client agrees to all of the policies, please initial in the available box for each policy and provide a digital signature. 

The reservation agreement is for the first-floor conference room and only within the agreed upon date and timeframe. The client will NOT be permitted access and use of the second-floor, food pantry, café kitchen and service area, or private access of the café multipurpose space.

The reservation agreement does NOT cover the use of cafĂ© equipment nor refrigerator, freezer and ice machine. The client will be permitted to utilize the tvs to airplay remotely from the client’s personal computer or device. The tv cables, adaptors, or devices are not allowed to be disconnected from the tvs.

Chairs and tables already in the conference room may be used and moved by the client, however, tables and chairs in the multipurpose/main space may not be used. If tables and chairs are not returned and organized to their proper place, there may be an “organizing fee” of up to $75. Any broken or damaged tables and chairs will be the responsibility of the client to financially replace for the exact product from the original vendor. Damage will be assessed by the Ethos Church Inc. team following the reservation, and may include but are not limited to; permanent stains, burns, scratches, or chips. 

The client is allowed to bring in catered food, order-in food, or potluck. Coffee for Community Room reservations should be purchased from Ethos + Co.

Decorations are allowed in the facility, however, no wall-mounted (no tape and thumbnail) decorations are allowed in the facility. The client is fully responsible to repair any and all damages caused by decorations. Glitter decoration or supplies is prohibited and not allowed inside the facility or on the grounds. 

Ethos Church Inc. and Ethos + Co. does not allow decorations to be stapled, taped, nailed, or any other substance to be affixed to any of the walls, floors, or ceilings in the rooms. Water glasses and all other China is not included at Ethos + Co. Therefore, all linens and China must be rented from a third-party source. 

No glitter, confetti, birdseed, synthetic petals, or rice is allowed. All vendor items and personal items must be removed at the conclusion of your event or will become the property of Ethos Church Inc. and Ethos + Co. and may be disposed of or used, at the discretion of Ethos. 

The client will be held responsible for any and all damage or loss to the facility, grounds, equipment, or property caused by the negligence or intentional misconduct of any participant or guest of the client. The client will be billed for any cleaning required, repair, and/or replacement costs for damages caused by participants or guests of the client. Damage to the facility includes but is not limited to, unintended use of doors, door crash bars, and windows, food ground into the floor, beverage spills on the floor, broken or damaged Ethos decorations, broken glass, damaged doors or door frames, stained or damaged chair pads, holes in drywall, cracked/scratched flooring, etc. Payment will be due from the client for such costs after the event via the payment method used to rent the space.

There will be NO open flames inside the building outside of birthday candles for a cake. Please note that this includes chafing dishes.

There will be NO smoking inside the building at any time.

There will be NO alcohol in or served within the facility or on the grounds.

The client agrees to returning furniture to its original location. In the situation where the client’s event/meeting necessitates excessive cleaning from Ethos + Co. staff or an outside vendor, the client commits to financially reimburse Ethos for the time and fees.

The client agrees to hold Ethos Church Inc. as well as Ethos + Co. and their employees harmless for, from, and against any and all claims, actions, damages, liabilities, and expenses for the loss of property, life, personal injury, or damages to property arising directly or indirectly from or out of the event.

All cancellations must be received in writing in the Cancellation Addendum. The event date may be postponed, rescheduled, or cancelled with written notice at least 2 weeks prior to the reservation with no penalty and full reimbursement. For any cancellation requests less than 2 weeks from the reservation date, any paid reservation fees will not be returned to the client & will be used as a donation to the Ethos Food Pantry.

The Ethos Church Inc. and Ethos + Co. is not financially responsible in the event of: a National Emergency, Severe Weather Warning, or Act of God that forces a last-minute cancellation of the event. If there is a Government mandated shutdown, a full refund will be provided. Ethos will make every effort to reschedule your event in a timely and convenient manner.

Organizational Users. User promises and warrants that it carries liability insurance with a minimum liability occurrence limit of $1,000,000. The User will provide a certificate of insurance to the Owner at least seven days prior to the date upon which the User begins to use the above described premises. The certificate of insurance will indicate that User has made Owner an “additional insured” on User’s policy with respect to the use by User of the above described premises.

I have read the deposit and cancellation policy. I understand and agree that I am responsible for remitting deposit payments according to the policy and that if the deposits are not received by each due date, the event may be subject to cancellation. I have read and understand the terms of this agreement. I understand that Ethos Church Inc. and Ethos + Co. is not responsible for food items taken off premises to be consumed at a later time by either the guests or myself after the event. I agree with the terms and conditions of this contract. I concur with the deposit policies and will follow through with them as such. Please obtain confirmation of the event with Ethos Church Inc. and Ethos + Co. I understand that the final event details are due 14 days prior to the event and late payments are not guaranteed and will result in an administrative fee being assessed. Ethos Church Inc. and Ethos + Co. reserves the right to change their policies as determined necessary.
